Each subscription-plan level includes a set number of users that can have unique logins for the account. Each individual using ShipStation must have their own login, as you cannot login with the same username in multiple locations simultaneously. Customize the permissions and restrictions of your account users to control what information they can view and what actions they can perform.
Want to add more users to your account than the maximum number of users available on your plan level, but don’t need to increase your shipment limit? Increase the number of users allowed on your account for $5/user.
These additional users must be added to the Subscription before you can add the user account in the User Management screen. See the Change Subscription Plan page for more information.
During your ShipStation free trial, you can add up to 10 users to your account. If additional users are needed, please contact our support team.
-
Click + Add a User Account in the User Management settings screen.
Subscription User Limit
Depending on your plan level and how many users are already set up, you may need to set a another user to inactive before creating a new one to avoid going over your limit.
Click Edit by an existing user and uncheck the box next to Active, then click Save.
Alternatively, add an individual user to your subscription plan for $5/month in
Settings > Account > Subscription
.
-
Fill in the appropriate information for this user, such as their username, password, e-mail address, and name.
Usernames must be unique across all of ShipStation. If a username is in use by another account, ShipStation will prompt you to use a different username.
-
Click on the Permissions tab.
Permissions are not granted by default, so you must set permissions before the user will be able to access any pages in ShipStation. Permissions can be changed by editing the user later.
Decide which level of permissions you want this user to have. Choose more than one option, or choose the Administration option, which effectively selects all of them, giving that user full access to the account.
-
Click on the Restrictions tab to add any restrictions to this user. These options allow you to restrict what orders and/or shipments the user can see and what workstations they can log into.
For a full description of the available permissions and restrictions, see the Set User Permissions and Restrictions article.
Click Save once you've set your user preferences.
The user will then receive an email to the email address set in the Information tab. That email contains their username and a temporary password. Going forward, users can change their password by using the Forgot Password link on the login screen.
Increase Subscription User Count
If you have reached your maximum number of users on your plan, go to Settings > Account > Subscription
and click Change Your Subscription to increase your user limit. Then enter the total number of additional users you'd like to add to your account.
Each additional user above your plan limit is $5/month.

You can change the password, Full Name, Email Address, and Permissions for a user you have already created, but you cannot edit the Username.
To edit a user:
-
Click Edit next to the user you would like to edit.
To create a user with a new username, you will need to add a new user, then set the old user to inactive.
Please read the section Make Users Inactive to learn how to make a user inactive and why users are not deleted.
Make the changes to the user account.
Click Save when done.
Since these plans are limited to one user, to edit a user while on this plan, do the following:
Add a user to your plan following the instructions above, create the new user then set the old one to inactive, then edit your subscription to once again set it to 0 additional users.
-
Contact support for assistance in creating a new user and deactivating the old one without changing your subscription settings.
Usernames must be unique across all of ShipStation, not just your account. If you attempt to create a username that is already in use, ShipStation will prompt you to try a different one.
To avoid any system errors, make sure your username contains only ASCII characters.
Please read the section Make Users Inactive to learn how to make a user inactive and why users are not deleted.
ShipStation users generate historical, reference information, and they create and modify data. Deleting users entirely would also delete this reference information.
To maintain the integrity of the historical information generated in the account, instead of deleting users, you can make them inactive. Inactive users can't log in, nor do they count against your plan's subscription limits.
An inactive user loses all ability to do anything within that ShipStation account. An inactive user has no way to log in, access, nor be reactivated within that ShipStation account unless an account's admin user reactivates their username.
-
Click the Edit link for an existing user.
-
Look for the Allow this user to login setting in the Information sub-tab.
-
Click the checkbox to either deselect the checkmark and deactivate the user, or add the checkmark to activate them.
The user status reading This user account is active will appear in green text, and the user status reading This user is inactive will appear in red text.
Click Save when you're done!
Tip
To see inactive users, check the Show Inactive Users box on the User Management screen. They will be listed as Inactive under the Status column.

The User Activity Log provides basic activity information about your ShipStation users. Monitor an individual's login dates/times, notifications, retrievals, manual orders, time stamps for start/finish of Get Label calls, and other high-level activities are tracked here. This tool can help with forensic purposes in trouble-shooting or identifying personnel who need new training.
Check the Order Details log for more granular details about information a user created, changed, or did. For example, Oder Details is where to look for specifics if ShipStation automatically updates an address or if a user changed . To learn more details, read our Order Activity article.
Note
ShipStation stores data in the User Activity log for 60 days only .
