There are three ways to view your stock counts in ShipStation. The viewing methods depend on which inventory method you use:
View External Inventory Counts,
View Internal Inventory Counts (or stock levels) at the product level and order levels, or
View Total Available Inventory Counts
Once you've connected to your external inventory and set it as an inventory source for a Ship From location, you can view your stock counts directly on each order.
Since you may have multiple inventory sources for your products, you can also view the total available of all of your inventory counts. ShipStation displays this count in the Total Available column in the Products grid.
This column displays the total available inventory counts for a product from the internal and external inventory sources configured in your Inventory Settings.
You can mark those sources as "included" (or "excluded" by omission) in the Inventory Sources settings page.
Only “included” inventory sources will display as part of the Total Available value shown in the Products grid.
If you do not see the Total Available column, click the Column button and check the box to enable it. When first enabled, the column will appear as the farthest right column of the Products grid.
Click the product's quantity in the Total Available column to see the stock counts from each inventory source.
Notice that only the “Included” inventory sources display in the Total Available pop-up.
Notes about Total Available Inventory
Product Records Must Include SKUs.
ShipStation's Total Available Inventory count only supports products that have SKUs. Products with a listing name but no SKU will not show in Total Available counts.
Inventory Refresh Time
The total available inventory column may take up to 2 hours to refresh with both your internal inventory and external inventory sources.
The Total Available column will show only if you have a compatible Inventory source connected. This column displays your total inventory count based on the inventory sources you have selected in your inventory settings.
If your inventory source is not in this table, the Total Available column will not display in your Products grid.
Stores and Inventory Solutions
The Total Available column display is different from the inventory we display on the Inventory section on the Products page (this shows ShipStation internal inventory only) and from the inventory we display in Order Details (specific to 1 inventory source set in the Ship From Location set for the order). It is quite possible that the quantity displayed in this column could be different from the quantity displayed in your Order Details.
Total Available displays the sum of all of the inventory sources you have connected, while the Order Details will display inventory from one specific source. When you select an order, any inventory counts displayed will be from one inventory source, not multiple.
In the sample scenarios below, we use Shopify as an example of a compatible inventory source.
One Product, One Supported Inventory Source: In this example, you have inventory for Product A. You exclusively track inventory for Product A via Shopify (a compatible inventory source), and you have 50 units of Product A inventory in your warehouse there. The Products grid should display 50 units under the Total Available column for Product A.
One Product, Two Supported Inventory Sources: In this example, you have inventory for Product B in two supported places. In ShipStation’s Internal Inventory, you have 50 units of Product B available. Via Shopify inventory at a warehouse, you have another 75 units available. So, on the Products grid under the Total Available column for Product B, the count should display 125 units.
